Security & Facilities Manager

 

Kehillat Israel (KI) is a Reconstructionist synagogue in Pacific Palisades, California. KI is an inclusive, spiritual Jewish community that provides a warm, nurturing environment where we pray, learn, educate, and perpetuate Torah and Jewish values while serving the greater community. Our staff is an upbeat and collaborative group dedicated to making the world a better place and creating a sacred space for our congregants to find meaning, purpose, and joy.

We are looking for a proactive individual to manage security and facility maintenance for our properties. This is a position for someone who wants to take on a high level of responsibility and become an integral member of our team.

The Security & Facilities Manager must maintain all aspects of the safety, security, and emergency preparedness of KI’s campus as well as the maintenance and improvement of KI’s facilities. This is a full-time position that requires organization, attention to detail, and the ability to work well with different people (including other staff and families/congregants/third parties). All candidates must be trustworthy, quick-thinkers who exercise sound judgment, and who possess strong communication skills.

Key Responsibilities Include:

  • Ensure safety and security of KI’s campus and facilities and identify threats, potential threats and other hazards and potential hazards.
  • Oversee and supervise security staff, including scheduling, training, and record keeping to ensure all policies are followed and licenses are up-to-date.
  • Create, maintain, and implement policies and procedures related to workplace safety and ensure adherence to safety by staff and visitors and for the facilities as well.
  • Build positive relationships with our staff and families/congregants to ensure day-to-day safety.
  • Ensure all safety and security policies, procedures, and protocols are adhered to and assist in creating and updating policies and procedures based on current best practices and information.
  • Ensure KI facilities are up to code, well-maintained, safe, and secure.
  • Proactively build positive relationships with local first responding agencies (fire department, police department, etc.), neighbors, and act as first point of contact in the event of an emergency.
  • Coordinate with the Site Supervisor to plan security schedule with custodial schedule to ensure proper building staffing and maintenance.
  • Under the supervision of the Director of Operations, identify and maintain facility operations and conduct regular maintenance checks.
  • Under the supervision of the Director of Operations, be point of contact for the properties, oversee all repairs, and manage construction-related projects from budgeting through completion.
  • Oversee facilities vendors including, but not limited to, landscaping, HVAC, emergency generators, security equipment, exterminator, electrical, plumbing, elevator, exhaust, irrigation, mechanical, etc.
  • Advise Senior Staff and Board Committees of all security/security and facilities concerns and make recommendations for repairs, improvements, new processes and/or procedures, etc.
  • Assist the Director of Operations in writing and producing materials for facilities and security-related grants.
  • Such other duties and responsibilities as may be assigned from time to time by the organization.

 

Qualifications:

  • Bachelor’s degree desired (or significant equivalent relevant experience, at least 5-8 years)
  • At least 2 years of experience in facilities management and oversight
  • Experience in obtaining and evaluating bids from contractors/vendors
  • General knowledge of building maintenance, electrical, plumbing, and construction
  • Possess security certificates and licenses preferred:
    • BSIS CA Guard Card, BSIS OC Permit, BSIS Baton Permit, BSIS Firearm Permit
    • Completed SB 1626
    • POST Certified Taser Permit
    • CPR, First Aid and AED Certification
    • Valid CA Driver License and current automobile insurance coverage
  • Successfully pass a thorough background check that meets state, federal, and local requirements
  • Proficiency in Microsoft Office suite, G-Suite (Google), and an aptitude to quickly learn systems related to security scheduling, monitoring, and general administration of KI’s security apparatus
  • Physical demands:
  • Able to occasionally lift/carry and push/pull between 50 and 100 lbs.
  • Able to stand for extended periods of time
  • Physically and mentally capable of successfully attending and participating in all defensive tactics training to include, but not limited to: verbal confrontations, de-escalation of force, Oleoresin Capsicum (OC) Spray, Baton, TASER, Firearms training, and Active Shooter Training
  • Bilingual (English & Spanish) preferred
  • Familiarity with synagogue security operations desired but not required

Prior Experience:

  • Security or Security/Supervisor: 2 years minimum (preferred)

human resources administrative support staff

 

Kehillat Israel, a Jewish synagogue, is seeking a full-time human resources administrative professional, with payroll processing experience and some book-keeping or accounting experience, to meet our day-to-day HR needs, process payroll, and provide some book-keeping entries.

Job responsibilities:

  • Overseeing and handling all aspects of employee recruiting including planning, screening, offer negotiations, onboarding and offboarding
  • Preparing HR documents for incoming and departing employees
  • Conducting new employee orientations
  • Organizing and maintaining personnel records
  • Ensuring our systems and employee records are up to date and accurate
  • Handling compensation and benefits administration
  • Answering manager and employee questions about HR and benefit issues
  • Handling employee relations matters
  • Conducting investigations regarding employee complaints and work-related issues and make recommendations regarding the proper handling of such complaints/issues
  • Implementing and administering performance management programs
  • Drafting and/or updating internal HR forms, documents, policies, databases and records
  • Drafting HR documents (including counseling forms, leaves of absence letters, etc.)
  • Oversee and handle employees on leaves of absence (LOA) (including handling LOA paperwork/communication, drafting communications, etc.)
  • Ensuring compliance with our policies and procedures and ensuring all policies, procedures and programs are communicated and administered consistently
  • Processing payroll and ensuring compliance with wage and hour laws
  • Keeping up-to-date on employment laws
  • Working with our Safety Director and/or Safety Committee to improve safety at organization and prevent employee injuries 
  • Handling some book-keeping, such as processing accounts payable or accounts receivable
  • Performing other HR duties as assigned

Job qualifications:

  • Bachelor’s degree - degree in HR or a similar concentration preferred
  • 3-5 years’ experience in HR
  • Experience processing payroll; familiarity with payroll systems
  • Strong understanding of wage and hour laws
  • Excellent communication and organizational skills
  • Ability to handle and maintain confidential and sensitive information
  • Experience with basic accounting entries a plus
  • Familiarity with Microsoft Office Suite (especially Excel)
  • Familiarity with the ShulCloud software program not expected, but a plus
  • Employee will be working in an office setting. Employee shall be required to work at a desk and be able to use a computer and phone to perform the job duties. Employee shall be required to communicate and interact with satff, vendors, and other third parties. Employee shall also be required to stand and walk and reach and/or stoop to file papers and may occasionally need to life up to 10 pounds.

Public safety Officer

 

Kehillat Israel seeks a dedicated, full-time Public Safety Officer with a minimum of two years’ experience.

 

Candidates must have BSIS Guard Card, BSIS Weapons, OC Spray, and Baton permits. The following additional permits are preferred but not required: Taser, SB1626 (school), and PC832 (firearm).
